Introduction

The Finance Department of Cal Performances and Student Musical Activities is responsible for fiscal management and budgetary oversight for these two organizations, representing a combined annual operating budget of over $20 million.  Funds are derived from a variety of sources, including earned income, individual and corporate gifts and grants, federal, state and local grants, endowment income and a variety of university-based funding sources.  The finance department provides key financial and analytical support for Cal Performances departments, including fine arts programming, education and community programs, public relations, publications, development, marketing, box office, operations, facilities, information systems, human resources and administration.

This position is a key member of the Finance Department for Cal Performances and Student Musical Activities and is primarily responsible for procurement and payment processing for the departments.  In this capacity, the incumbent acts as a first line resource for department managers regarding university purchasing, travel & entertainment, professional services contracts, risk management and insurance, and real estate policy and procedures.  The incumbent also assists with key reconciliation/financial control and related activities, and will assist the Finance Manager with budget, quarterly forecasts, and monthly reports and analysis as required.

Responsibilities

Procurement & Payment Processing

Specific duties include:

*Provide full procurement and payment processing services including preparing/processing requests for purchase orders (LVPO, blanket, business contract, membership, entertainment, and general reimbursement), requisitions, procurement card transactions, interoffice charges, travel voucher reimbursements, student awards, invoice approval/voucher payment processing and lien closure requests in a timely and efficient manner consistent with University and department policies and procedures.

*Work closely with department managers, staff, external vendors, and central campus support units to ensure that requested goods and services are received timely in order to meet critical event-driven timelines.

*In conjunction with other Finance department staff, develop and maintain Finance Department Procedures Manual, with particular emphasis on documentation of financial controls. Develop and deliver department training to department managers regarding University purchasing policy and departmental procedures.

Reconciliation/Financial Control

*Responsible for execution of back end financial controls for Cal Performances. Independently review and reconcile the following key accounts on a monthly basis:

  • BFS income accounts v. Cal Performance’s ticketing/donor management system;
  • Pending gift accounts for Cal Performances and Student Musical Activities;
  • Journal transfers from UC Berkeley Foundation;
  • BFS ledger activity for payroll related expenditures;
  • Interoffice charges by recharge vendor;
  • Postage stamp inventory; and
  • Other accounts identified as high risk by the Finance Manager.

*For each of the above, research key discrepancies as appropriate and report any identified control weaknesses to the Finance Manager.

*Manages Cal Performances and Student Musical Activities department-specific BFS ledger codes. These codes are used internally to track event profitability (Chartfield 1) and provide functional income and expense detail (Chartfield 2) unique to a performing arts organization.

Budget, Forecast & Reporting Assistance

*Assist the Finance Manager with development of Cal Performances and Student Musical Activities annual operating budgets and quarterly forecasts and assisting managers with Cal Answers and other reports as needed to manage budgets and costs.

*Assist with implementation of a new management reporting process.

Departmental Back-Up

*Provide back-up coverage for the other Finance Department job duties in the case of vacations, illnesses, leaves, vacant positions, or during peak transaction volume periods such as month end, fiscal year end or when multiple events are scheduled in Cal Performances venues.

Required Qualifications

  • Demonstrated working knowledge of University fund accounting policies and procedures or equivalent work experience in a non-profit or public sector work environment or equivalent education;
  • Demonstrated working knowledge of financial applications. Working knowledge of campus systems such as BFS general ledger, CalAnswers, and other campus financial applications, preferred. Demonstrated skills with office productivity software applications, including Microsoft Office and Google G-Suite applications;
  • Demonstrated working knowledge of specific campus requirements for professional services and consultant agreements, vendor purchasing contracts, insurance requirements, and transportation service contracts;
  • Knowledge of current customer relations and quality service techniques, including negotiation, persuasion and strong communications skills is required in order to interact successfully with arts-focused department managers and staff, external vendors, and central campus support staff; Ability to perform research regarding best practices of similarly situated organizations (both within the Berkeley campus, other UC campuses, and other major university art presenting organizations) and analyze/recommend changes to existing processes;
  • Ability to develop and deliver brief training sessions for staff and managers regarding campus financial and administrative systems procedures and internal Cal Performances and Student Musical Activities-specific processes;
  • Accuracy and careful attention to detail in a high volume, interrupt-driven environment is required. Ability to perform multiple assignments simultaneously, prioritizing tasks with competing deadlines, and under minimal supervision;
  • Initiative and ability to work independently and as part of the Cal Performances Finance Team to achieve overall University and organizational objectives;
  • Analytical, investigative and problem-solving skills to collect data/information, analyze and interpret, and prepare conclusions and recommendations;

Introduction

Cal Performances is the performing arts presenting, commissioning, and producing organization based at the University of California, Berkeley. The mission of Cal Performances is to produce and present performances of the highest artistic quality, enhanced by programs that explore compelling intersections of education and the performing arts. Cal Performances fulfills this mission by presenting, producing, and commissioning outstanding artists, both renowned and emerging, to serve the University and the broader public through performances and education and community programs.
Under the strategic direction of the Chief Development Officer, the Leadership Giving Officer develops and executes long-range development strategies for prospects and donors with the capacity to give 6+ figure gifts to Cal Performances. The Leadership Giving Officer works in partnership with other members of a 9-person development team to create comprehensive fundraising strategies designed to inspire giving from existing major gifts donors and new major gifts prospects.

Responsibilities

  • Develops and manages a dynamic portfolio of approximately 150 donors, with the capacity to give $100,000 or more to Cal Performances.
  • Identifies, qualifies, cultivates, solicits, and stewards prospects for gifts in the portfolio; this may also include delivering personalized experiences such as backstage visits and working with corporate and foundation prospects with ties to individual major donors and prospects.
  • Evaluates fund development approaches using prospect research and financial capacity data, including planning and evaluating annual solicitation programs for the portfolio, and making recommendations for improvements.
  • Works collaboratively with discovery and new philanthropy staff to bring new donors into the pipeline through discovery, cultivation, and solicitation.
  • Writes proposals for solicitation of individual prospects. Solicits gifts directly; works with senior staff, content experts, and key volunteers to implement successful solicitation strategies.
  • Manages relationships with some of the University’s most important donors, especially where designated as primary manager.
  • Develops and executes long- and short-term strategies to secure major gifts from individuals in support of the Cal Performances mission.
  • Attends performances and related education events to cultivate, solicit, and steward donors and prospects.
  • Conducts 10-12 prospect/donor visits per month, through various means.
  • Develops stewardship reports including donor profiles to donors as needed, in collaboration with artistic, education, marketing, and other staff.

Required Qualifications

  • Bachelor’s degree in related area and/or equivalent experience

The budgeted salary range that the University reasonably expects to pay for this position is: $94,300 to $104,000

Part-Time

Cal Performances, the Performing Arts Presenter at UC Berkeley, is currently hiring EXPERIENCED TECHNICAL THEATER stagehands for variable, part-time, seasonal work.

We are looking for individuals with working EXPERIENCE in TECHNICAL THEATER who can function independently and with demonstrated confidence in one or more of the following areas: entertainment lighting, live sound, stage carpentry, and multimedia (A/V) systems. Must have working knowledge of technical areas outside of their specialization and the ability to perform general duties in those areas. Must be at least 18 years old.

You would assist the full crew in one or more of the following tasks:

  • Unload/load trucks
  • Set-up/strike staging and/or scenic elements
  • Hang and focus lights
  • Arrange stage equipment
  • Perform maintenance functions
  • Practice safe working habits
  • Run production related errands
  • Maintenance projects or other non-theatrical tasks as assigned

Required Qualifications

  • Hands on experience in technical theater
  • Ability to work independently and with demonstrated confidence in one or more of the following areas: entertainment lighting, live sound, stage carpentry, rigging, and multi-media (A/V) systems
  • Working knowledge of technical areas outside of specialization and ability to perform general duties in those areas

Other information:

This is a seasonal/as-needed position. Overtime is earned after 8 hours in a day or 40 hours in a week. The work week starts on Sunday and ends on Saturday. The hourly rate is $35.25 per hour.

Description

This position is focused on supporting the email marketing efforts of Cal Performances’ Marketing & Communications department and will be supervised by the Email Marketing Specialist.

The Email Marketing Assistant will help build, edit, and proofread email campaigns using WordFly, a mass email Content Management System (CMS) similar to MailChimp, and help maintain the email communications calendar on a project management platform. A core responsibility will be overseeing email marketing campaigns targeted to UCB Students that promote special discount offers and student programming and routing these communications for review. Responsibilities may expand depending on ability and interest to: building promotional emails for broader audiences and informational communications for ticket holders, data compilation, copywriting, campaign brainstorming, image editing, and email and web accessibility improvement projects.

** Note about hours: This position can have a variable level of weekly hours, but typically ranges between 6 and 10 hours per week during the academic year. Hours are dependent on available tasks and time of year.

Responsibilities

  • Assist the Email Marketing Specialist in creating, editing, and proofreading marketing messages using HTML and CSS via the mass email CMS WordFly.
  • Assist in maintenance of the email communications calendar using Teamwork.
  • Participate in the email routing/review process.
  • Depending on ability and interest:
    • Use reporting features to track statistics of various marketing campaigns.
    • Participate in copywriting and brainstorming of various marketing campaigns.
    • Edit photos as necessary for size, cropping, resolution, overlay of copy, etc.

Introduction

The Head Usher serves as a work leader under the direction of the Event Operations Manager and Audience Services Manager in the efficient operation of all Front-of-House activities associated with Cal Performances fine arts and rental events in various venues (Zellerbach Hall, Zellerbach Playhouse, Wheeler Auditorium, certain performances at Hertz Hall, the Hearst Greek Theater, as well as other venues as assigned).

Responsibilities

(100%) Ushering leader
Under the direction of the Event Operations Manager and Audience Services Coordinator, utilizes exemplary customer service techniques to effectively interact with patrons at events, mutually resolving front-of-house operational issues such as ticketing problems, late seating, crowd control, and reporting of facility maintenance needs to maintain appearance/cleanliness of auditorium and positive public relations. Acts as a work leader with volunteer ushers in seating sections to coordinate patron seating and service. Provides assistance in the preparation of the facility for events, such as setting up tables, chairs, etc. Takes tickets at entrances, provides assistance to patrons for seating, answers questions and directs patrons. Works to solve unexpected issues should they arise. The usher position may be elevated to the next level usher position such as Assistant House Manager and House Manager as the person is gaining more experience.

Skills, Knowledge, & Abilities

  • Excellent verbal communication skills to effectively work with a diverse group of constituencies.
  • Working knowledge of customer service and event management techniques.
  • Initiative and ability to work independently and as part of a team.
